This Privacy Policy explains how personal data is processed in connection with SitePhone.ai (the "Service").

1. WHO WE ARE

SitePhone.ai is sold to customers by Avetec International (UK) Ltd ("Avetec", "we", "us", "our").

Technology supplier / processing support:

The Service is powered and/or supplied by Big Mango Solutions Co., Ltd. ("BMS") as Avetec's supplier and (where applicable) processor/sub-processor for platform operation and technical support.

2. SCOPE AND ROLES (CONTROLLER / PROCESSOR)

SitePhone.ai is a business-to-business VoIP widget service. This policy covers:

2.1 B2B Customers (portal users)

For customer account administration and billing data, Avetec is the data controller. BMS may process certain data on Avetec's behalf to operate the platform and provide technical support.

2.2 Website Visitors (widget end-users)

If you embed the widget on your website, you are the data controller for your website visitors. Avetec processes certain visitor data as a processor on your behalf, and BMS may act as a sub-processor where needed to deliver the Service.

2.3 Visitors to the SitePhone.ai website (including the waitlist)

For visitors to the SitePhone.ai website itself (for example, reading pages, submitting a waitlist form), Avetec is the data controller for those interactions.

3. DATA WE COLLECT

3.1 B2B Customer data (customer portal)

We may collect:

  • Account data (name, email, password hash, role, timestamps)
  • Organisation data (company name, country, address)
  • Payment and billing metadata (payment processor customer identifiers, transaction amounts, refunds, timestamps; we do not store full card numbers)
  • Wallet and subscription data (balances, transactions, plan, status, renewal interval)
  • Call usage and call metadata (timestamps, duration, provider identifiers)

No call recording:

SitePhone does not record calls and does not store voice recordings.

3.2 Website visitor data (widget)

When a visitor interacts with the widget, data may be processed for abuse prevention, service delivery, and telemetry:

  • Browser fingerprinting (canvas and audio fingerprinting; hashed)
  • Session/network data (for example, IP address used to derive hashes; access timestamps and counts)
  • Behavioural telemetry (sendBeacon events such as page URL, session timing, click and call counts, widget version)
  • Device/browser data derived from user-agent

3.3 Dara AI-receptionist waitlist and related product updates (SitePhone.ai website form)

If you join the waitlist to hear when Dara AI-receptionist becomes available, we may collect:

  • Name
  • Company
  • Email address and/or phone number
  • Any message fields you submit (if the form includes them)
  • Signup metadata (timestamp, source page, and basic technical logs needed for security/abuse prevention)

By submitting the waitlist form, you are requesting that we contact you using the details you provide for the purposes described in Section 4.3. We will normally contact you by email. If you provide only a phone number (or if email delivery is not possible), we may contact you by telephone call instead.

4. HOW WE USE DATA

4.1 B2B Customer data

We use customer data to provide the Service, manage accounts, authenticate users, process payments, provide support, maintain security, prevent fraud, and meet legal/accounting obligations.

4.2 Website visitor data (widget)

We process visitor data to:

  • prevent abuse and enforce rate limits
  • manage sessions needed for calling
  • support call routing and service operation
  • understand widget usage and improve performance

Consent requirements for fingerprinting and telemetry may vary by jurisdiction. Website operators embedding the widget are responsible for implementing consent where required by law.

4.3 Dara waitlist and "newsworthy updates" communications

We use waitlist information to:

  • contact you when Dara AI-receptionist becomes available
  • send newsworthy updates about Dara (for example, availability announcements or major capability releases)
  • send newsworthy updates about SitePhone or closely related voice/telephony products that are relevant to people interested in Dara/SitePhone
  • manage and operate the waitlist (deduplication, suppression of unsubscribed contacts, and delivery handling)

We do not intend to send routine newsletters or frequent general marketing emails to waitlist contacts. We will contact you only to the extent permitted by applicable law and only for the purposes described above. You can opt out at any time by using an unsubscribe option (if provided) or by emailing contact@sitephone.ai.

5. COOKIES AND SIMILAR TECHNOLOGIES

5.1 Customer portal

The customer portal may use cookies and local storage for authentication and security purposes.

5.2 Internal admin portal (not customer-accessible)

An internal admin portal exists for Avetec and/or BMS personnel only (not accessible to customers) and may use similar authentication and security technologies.

5.3 SitePhone widget (embedded on customer websites)

The SitePhone widget does not use cookies.

The widget uses:

  • browser fingerprinting (canvas and audio fingerprinting; hashed)
  • sendBeacon telemetry for usage events

Local storage may be used to cache fingerprint-related values for efficiency.

5.4 SitePhone.ai website analytics and marketing cookies (sitephone.ai)

The SitePhone.ai website uses analytics and marketing technologies that may set cookies or use similar storage mechanisms, including:

  • Google Analytics (analytics cookies)
  • Meta (Facebook) Pixel (marketing/measurement cookies)

These technologies help us understand how the website is used, measure marketing effectiveness, and improve our website and communications. Where required by applicable law, these cookies are used only after you provide consent via a cookie/consent banner or settings. You can also manage cookies through your browser settings.

6. SHARING AND SUB-PROCESSORS

We may share personal data with service providers as needed to deliver the Service (for example, call routing providers, payment processors, transactional email providers, analytics/measurement providers, and bot/fraud prevention services). We do not sell personal data.

For the Dara waitlist, we may use service providers to store the waitlist and deliver updates (for example email delivery providers or CRM tools), and only for the purpose of operating the waitlist and sending the updates described in this policy.

7. INTERNATIONAL TRANSFERS

Some service providers may process data outside the United Kingdom. Where required, transfers use appropriate safeguards as required by applicable data protection law.

8. RETENTION (LIGHT DEFAULTS)

We retain personal data only as long as necessary for the purposes described above, including legal/accounting requirements and dispute handling.

Examples:

  • Active account data: retained while the account is active
  • Financial records: retained as required by applicable accounting/tax rules
  • Widget server-side fingerprint cache: approximately 24 hours
  • Widget client-side fingerprint cache: approximately 7 days
  • Dara waitlist data: retained until you opt out, or until the waitlist is no longer needed for Dara availability notifications and related newsworthy updates, unless a longer retention is required for legal/compliance reasons

9. YOUR RIGHTS

Under United Kingdom data protection law you may request access, correction, deletion (where applicable), restriction, portability, or object to certain processing. To exercise rights, contact contact@sitephone.ai.

Waitlist communications:

You may opt out of Dara/SitePhone related updates at any time (including calls, if you provided a phone number) by using an unsubscribe mechanism (if provided) or by emailing contact@sitephone.ai.

10. WEBSITE OPERATORS (CUSTOMERS) — KEY OBLIGATIONS

If you embed the widget, you are responsible for:

  • providing appropriate privacy disclosure to your visitors, including fingerprinting and telemetry disclosures
  • implementing consent mechanisms where required by law in your jurisdiction

Avetec (and its suppliers/sub-processors) will process visitor data only to provide and secure the Service, consistent with this policy.

11. SECURITY

We implement reasonable technical and organisational measures such as encryption in transit, password hashing, access controls, payment card handling via payment processors, and abuse prevention controls.

12. CHILDREN'S DATA

The Service is B2B and not intended for children under 16. Website operators must not embed the widget on sites directed primarily at children under 16.

13. CHANGES

We may update this policy from time to time. The "Last Updated" date indicates when changes were last made.

SitePhone.ai

SitePhone.ai is a service operated by Avetec International (UK) Ltd, a company registered in the United Kingdom. Customer subscriptions, billing, and payments for SitePhone.ai are handled by Avetec International (UK) Ltd. Payments are processed securely via Stripe.

The SitePhone technology and underlying software are developed and maintained by Big Mango Solutions, the creator of the SitePhone platform, which provides the technical infrastructure supporting the service.
